Booking Terms & Conditions – Tours
Conditions of Travel
These booking conditions set out the terms on which you contract with us for the arrangements and coordination of the delivery of travel arrangements for your trip. By making a booking with us, you acknowledge that you have read, understood and agree to be bound by these Booking Conditions. We reserve the right to change these Booking Conditions at any time prior to you making a booking request.
“You” and “Your” means all persons named in a booking (including anyone who is added or substituted at a later date). “We”, “us”, “our” and “Snaffle Travel” means Pencarrow Enterprises Pty Ltd.
Please read the following terms and conditions carefully as all bookings accepted by Pencarrow Enterprises Pty Ltd trading as Snaffle Travel (“Snaffle Travel”, “we”, “us”) are accepted subject to these Terms. By making a booking you acknowledge that you have (and warrant that everyone in your booking has) read, understood and agree to be bound by these Terms. Apart from all the legal stuff, it is recommended that all travellers adopt a sense of adventure, an easy-going outlook and the ability to ‘expect the unexpected’. It is the expectation that all travellers will respect fellow passengers and understand the key to an enjoyable tour, is you.
Making a Booking
A booking request is accepted by us when we issue a written booking confirmation and you have paid your deposit. It is at this point that a contract between us and you comes into existence subject to these Booking Conditions. We reserve the right to decline any booking at our discretion. No employee of ours other than the director has the authority to vary or omit any of these Booking Conditions or to promise any discount, refund or credit.
Last Minute Booking
Bookings made after the final payment due date will be subject to availability and we will require full payment upon confirmation. An administrative charge of $100 per person will apply. You acknowledge that we may not be able to confirm services, in which case we will provide you with a refund.
Services
The services we provide you are limited to (a) the arrangement and coordination of your travel arrangements; and (b) the delivery of travel arrangements which we directly control. This includes (often significant) work undertaken prior to travel to arrange and coordinate the delivery of your travel arrangements. You also receive the benefit of work we undertake in anticipation of bookings.
Prices & Exclusions
Prices stated are in Australian Dollars ($AUD) or we may convert to ($NZD) or other currencies where applicable and are current at the time of publication. The most up to date pricing is available on our itineraries provided to you. The price includes accommodation, transportation and other inclusions as per the published itinerary.
International and domestic airfares and airport/hotel transfers are not included unless specifically stated. Costs associated with passports, visas, vaccinations, insurance, meals (other than those stipulated), emergency evacuation costs, gratuities, and all items of a personal nature are not included.
Price Surcharges
We reserve the right to vary the cost of your travel arrangements prior to commencement for circumstances beyond our control such as the imposition of fuel surcharges or new or amended Government charges.
We also reserve the right to vary the cost of your travel arrangements due to currency fluctuations. However, we will not vary the cost for currency fluctuations once full payment has been received by us and we will absorb the first 2% of any negative currency fluctuation.
GST
At the time of printing, the Australian Tax Office has deemed that International Travel is GST FREE. Domestic Travel, if booked in conjunction with International, should also be GST FREE. Whilst, at this time, International Travel is not subject to GST, Snaffle Travel reserves the right to impose a GST surcharge if the circumstances change prior to the departure date.
Deposit
A 10% deposit per person or $500.00 (whichever is greater), is required within 7 days (unless otherwise stated) of us accepting the booking.
The deposit represents a fee payable to us for services associated with the processing and confirmation of your booking and any consultations on travel arrangements that we provide to you. Because these services are provided as soon as we confirm your booking, the deposit is non-refundable other than where we cancel your travel arrangements for reasons other than Force Majeure (see below).
Please note that we may not hold any services for you until we receive payment of your deposit, meaning that services may become unavailable or prices may increase, in which case you will be responsible for paying the increased price, and we will not be responsible if services become unavailable.
Progress Payment
When a progress payment is noted on your invoice you will be required to pay this by the stated due date. Part of the progress payment may be used to pay for event tickets which are normally non-refundable or cover deposits to our suppliers or your airfares (where applicable), taxes and fuel surcharges. At this stage, we will also require a completed Passenger Pre-Registration Form and copies of your Passport.
Once payment is received we will then issue your flight tickets (where applicable), based on the minimum tour numbers being met. Any changes you wish to make to your flight booking(s) after the ticket (s) has been issued, may incur fees.
Airline Schedule Changes
Snaffle Travel is not responsible for any schedule changes imposed by airlines. Whilst we will do our best to reschedule your touring and accommodation, Snaffle Travel is not responsible for any additional costs or services missed as a result of an airline-imposed schedule change.
Final Payment
Payment in full must be received by the date(s) reflected on your invoice or if no date is specified no less than 75 days before the commencement of your trip.
Note: Some trips may require payment (Including full payment) earlier or in additional instalments and this will be advised with the booking confirmation. If we attend events, tickets maybe purchased well in advance are normally non-refundable unless the event is cancelled, and then the event organiser will issue a refund. If you choose to cancel we cannot get a refund for your group tickets nor can you sell or pass tickets on to anyone else. We hold block group bookings and if tickets are sold to non-tour members this can interfere with group dynamics.
If you fail to make payment by the due date, we will remind you to make payment. In addition to the payment, you will also be responsible for any costs imposed on us by suppliers resulting from late payment. If we do not receive payment within 7 days after the reminder, you will be deemed to have cancelled your booking and cancellation fees will apply.
Cancellations By You
If you wish to cancel your trip for other reasons, we require written notice and will make refunds to you less cancellations fees in accordance with the table below, calculated from the date of which we receive written notice:
- Over 90 days before commencement: Payment received plus the cost of any event tickets.
- 90 days to 60 days before commencement: 50% of the booking value.
- Within 59 days or no show 100% of the booking value less any amounts payable to third parties specifically to deliver your travel arrangements which the third party agrees are no longer payable*
*As we will be subject to third-party terms and conditions, we make no guarantee that third parties will agree that amounts are no longer payable.
Other Cancellations
If you wish to cancel your trip for other reasons, we require written notice and will make refunds to you less cancellations fees in accordance with the table below, calculated from the date of which we receive written notice:
- Over 90 days before commencement: Payment received plus the cost of any event tickets.
- 90 days to 60 days before commencement: 50% of the booking value.
- Within 59 days or no show 100% of the booking value
General
You agree that the deductions and cancellation charges specified above are reasonable, represent a genuine pre-estimate of our loss and are required to protect our legitimate business interests.
For group departures, a transfer of a confirmed booking to another departure date at your request is deemed to be a cancellation of the original booking.
Cancellation or Rescheduling of Event
Snaffle Travel is not an event organiser. If your tour is scheduled to attend an event organised by a third party and it is cancelled or rescheduled by the organiser, then you agree that you will not be entitled to cancel your booking or, subject to this provision, be entitled to any cost reduction. In this unlikely circumstance, we will use reasonable endeavours to provide alternative sightseeing arrangements and to obtain a refund from the event organiser for admission tickets. If we are able to obtain a refund, then you agree that we may apply such refund to the delivery of alternative sightseeing arrangements. We will refund you any balance following this application. To the fullest extent permitted by law, this is the limit of our obligation to you. You acknowledge that this provision is reasonable and required to protect our legitimate business interests as we would have incurred or committed to incur expenses for travel arrangements unrelated to the cancelled or rescheduled event.
Illness or Vaccination Status Preventing Travel
If due to any illness, suspected illness or failure to satisfy any required tests or vaccination requirements.
- An airline or other common carrier refuses you carriage;
- A hotel or vessel refuses to accommodate you; or
- We or our suppliers (acting reasonably) exclude you from the trip
and you are consequently prevented from commencing or continuing your trip, then:
- If you have already commenced your trip, we will provide you with reasonable assistance to arrange alternative travel arrangements or to continue the trip. This will be at your cost.
- If you have not commenced your trip then we regret we will not be in a position to provide such assistance.
We will not be liable to refund the cost of your trip (or any part of it) because we would have already paid (or committed to pay) suppliers and we would have already performed significant work preparing for the delivery of your trip and servicing your booking.
We will not be responsible for any other loss or loss you incur in connection with your booking (for example, airfares and visa expenses) if you are prevented from commencing or continuing your trip in these circumstances.
Cancellations or Rescheduling by Us
In these Booking Conditions, the term Force Majeure means an event or events beyond our control and which we could not have reasonably prevented, and includes but is not limited to: (a) natural disasters (including not limited to flooding, fire, earthquake, landslide, volcanic eruption), adverse weather conditions (including hurricane or cyclone), high or low water levels; (b) war, armed conflict, industrial dispute, civil strife, terrorist activity or the threat of such acts; (c) epidemic, pandemic; (d) any new or change in law, order, decree, rule or regulation of any government authority (the events in (d) being “Government Restrictions”).
Force Majeure – Prior to travel
If:
- in our reasonable opinion we (either directly or through our employees, contractors, suppliers or agents) determine that your travel arrangements cannot safely, lawfully or reasonably proceed due to a Force Majeure event; or
- you give us notice no more than 14 days prior to the commencement of your booked travel arrangements that you cannot reasonably make use of them due to Government Restrictions
then we may:
- reschedule your travel arrangements, but only if you are agreeable to the rescheduled arrangements; or
- cancel your travel arrangements, in which case our contract with you will terminate.
If we cancel your travel arrangements, neither of us will have any claim for damages against the other for the cancelled arrangements. However, we will either:
- issue you with a credit equal to payments received by us for the cancelled travel arrangements, redeemable within 12 months of issue against any travel services offered by us; or
- refund payments attributable to the cancelled travel arrangements less: (a) unrecoverable third-party costs and other expenses incurred or payable by us for the cancelled travel arrangements; (b) overhead charges incurred by us relative to the price of the cancelled travel arrangements; and (c) fair compensation for work undertaken by us in relation to the cancelled travel arrangements until the time of cancellation and in connection with the processing of any refund.
Please note that our ability to issue you with a credit may be dependent on our suppliers issuing corresponding credits to us. We cannot guarantee that our suppliers will issue corresponding credits and so in such circumstances, we may opt to pay you a limited cash refund as outlined.
Force Majeure – During travel
If due to Force Majeure we cancel travel arrangements after your trip has commenced, we will provide you with a refund of recovered third-party costs for cancelled travel arrangements only.
Force Majeure – General
Where a limited cash refund is to be paid by us, we will use reasonable endeavours to recover payments from third parties attributable to your booking, but we make no guarantee that we will be able to recover these payments either partially or at all. If after we have paid you a limited cash refund (or after we determine that no cash refund is currently payable) we recover payments from third parties attributable to your booking, then we will pass on this payment to you.
We will not be responsible for any other loss or costs you incur in connection with your booking (for example, airfares, insurance and visa expenses) if your trip or particular travel arrangements are cancelled due to an event of Force Majeure.
If we provide you with any alternative services or assistance where travel arrangements are cancelled or rescheduled due to Force Majeure which you accept, then you agree the amount to be refunded to you will be reduced by the value of these services and assistance.
You acknowledge that the terms in this section are reasonably necessary to protect our legitimate business interests. We strongly encourage you to purchase travel insurance that adequately responds to cancellation and rescheduling risks associated with Force Majeure events as soon as you have paid a deposit.
Minimum Numbers
Some trips are based on a minimum number of passengers travelling. We will advise you prior to confirming your booking if this is the case. If a trip fails to satisfy minimum numbers, the trip may be cancelled. or re-costed. We will give you notice no later than 60 days prior to the trip’s commencement. If the trip is re-costed, you will have the option to either accept the new cost or to cancel your booking. You must make this election within 14 days of receiving notice from us. If the trip is cancelled or if you cancel your booking in these circumstances, we will at your election refund all payments made or credit payments towards alternative arrangements.
Other cancellations
If we cancel your travel arrangements for reasons other than Force Majeure or failure to satisfy minimum numbers, you will be offered (at your election) a refund of funds paid, as part of the Snaffle Travel tour, or the offer of a trip of substantially equal quality if appropriate.
Additional services
The cancellation terms above do not apply to travel arrangements booked through Snaffle Travel (as agent for the principal supplier) that are additional to the group tour (for example, pre and post-tour accommodation). The cancellation terms of the principal suppliers of those additional travel arrangements will continue to apply.
Additional expenses
To the fullest extent permitted by law, we will not be responsible to you for any other expenses or loss you incur if your travel arrangements are rescheduled or cancelled whether or not due to Force Majeure.
Amendments by You
We will endeavour to accommodate amendments and additional requests. You acknowledge that these may not be possible to fulfil, and for group departures, a transfer of booking to a different departure is deemed a cancellation of the original booking. An amendment fee of $100.00 per booking will be levied to cover communication and administration costs for any changes to any bookings. You will also be required to pay any additional costs charged by suppliers and airlines.
Amendments by Us
Prior to travel
Due to the dynamic nature of the travel industry, we may occasionally need to make amendments or modifications to the itinerary and its inclusions and you acknowledge our right to do this. Most changes will not be significant. If we become aware of any significant changes to your itinerary or its inclusions that materially detract from value, then we will notify you within a reasonable time and we will refund you an amount attributable to the reduction in value determined by us acting reasonably. This does not apply to any events that are cancelled or rescheduled, which is dealt with separately above.
During travel
You acknowledge that the itinerary, modes of transport, accommodation and/or the trip’s inclusions may need to change during your trip due to local circumstances beyond our reasonable control, including road conditions, poor weather, changes in transport schedules, and/or vehicle breakdowns. You agree that we have the right to pass on any costs we incur for alternative arrangements we put in place for your benefit in these circumstances.
General
To the fullest extent permitted by law, we will not be responsible for any omissions or modifications to the itinerary or the inclusions due to Force Majeure or other circumstances beyond our control happening after we have accepted your booking. This includes any loss of enjoyment or distress caused by omissions or modifications.
If you are entitled to any compensation for any modifications or omissions, then you agree it will be reduced by the value of any alternative services we provide that you accept.
We will not be responsible to you for any other expenses or loss you incur resulting from any amendment or change to the itinerary or its inclusions.
Unused & Denied Services
No refunds will be made for any travel arrangements not utilised, whether by choice or because of late arrival or early departure, including failure of transport to operate according to schedule, which we expressly disclaim liability for.
If you are not fully and validly vaccinated against Covid-19 in the destination(s) where services are to be provided, and particular suppliers refuse to provide you with travel arrangements, then you agree you will not be entitled to any refund for those arrangements. We will not be responsible to you for any loss or expenses you incur (including loss of enjoyment or the costs of alternative arrangements) if you are denied services in these circumstances.
Client Names – Exactly as per Passport
For security reasons, airlines and our overseas suppliers, require names to be given exactly as stated in your passport. If you do not advise the correct information and we have to re-issue airline tickets or other documentation, then you will be responsible for any fees charged (such as airline cancellation charges or re-issue fees) in addition to our own reasonable administration fees.
Travel Insurance
The Australian Department of Foreign Affairs & Trade strongly asks intending travellers to consider taking out travel insurance. Travellers without travel insurance are personally liable for covering any medical and associated costs they incur. The Australian Government will not pay for your medical treatment overseas or medical evacuation to Australia or a third country. Please refer to DFAT Travel Insurance for more information.
It is a condition of booking that you are adequately insured for the full duration of your trip. We recommend comprehensive travel insurance to cover cancellation, medical requirements including pre-existing medical conditions, luggage, repatriations and additional expenses. You must also ensure that your personal travel insurance covers all of the activities you expect to participate in and this may include horse riding. The choice of insurer is yours. We strongly suggest you purchase insurance at the time you pay your deposit. This is because cancellation fees and charges are payable from that time. We are happy to provide information for you, however, you should personally read all policies carefully to ensure the cover you decide upon is adequate for your needs and that you fully understand all the terms and conditions of the policy.
Accommodation
We reserve the right to substitute hotels, cruises and other forms of accommodation with properties or cruises of a comparable or higher standard. Snaffle Travel staff, whilst often personally familiar with some properties and/or other travel services provided, cannot possibly be familiar with all properties and/or other travel services provided on offer. Therefore, Snaffle Travel staff cannot personally offer guarantees on the quality of services or standards of independent third-party suppliers.
Passports & Visas
It is your sole responsibility to ensure that you are in possession of the necessary documentation to comply with the laws and regulations of the countries you will be visiting. Your passport should be valid for at least six months after your planned date of return from Australia. Snaffle Travel does not assist with obtaining visas, ESTAs or ETAs. We are happy to provide you with information pertaining to which countries on your journey will require visas and to direct you to consulates, embassies, official websites, and visa services, but we will not process the visa applications for you.
Vaccinations
We strongly encourage you to be fully vaccinated against Covid-19 with a vaccine approved by the Therapeutic Goods Administration. This is so health risks for yourself and others you come into contact with can be mitigated
It is your sole responsibility to obtain vaccinations and preventative medicines as may be required for the duration of the trip. Please check with your doctor or The Travel Doctor. Any information provided by us is given in good faith.
Health & Fitness
Snaffle Travel does not specify age limits on our tours, but we also recognise that some travellers may find our itineraries challenging. We have a duty of care to all tour participants and the tour hosts, so we do impose a firm policy on the level of fitness required by our clients to attempt to ensure your safety and the safety of the other travellers on our tours. We rely on the information you provide on our ‘Fit to Travel’ form completed as part of your booking request and updated as necessary. You warrant that the information you provide us is accurate and that there are no other medical issues (physical or mental) that may impact your ability to participate in the tour without the need for special assistance.
Existing Medical Conditions
If you have a medical condition which may reasonably be expected to increase your risk of needing medical attention, or which may materially affect the usual conduct of the trip, then you must advise us prior to or at the time you make your booking request.
We may request you to provide an assessment of your medical condition from a qualified medical practitioner. If the assessment indicates that you are not fit to travel or will require special assistance which we cannot reasonably provide, then we may cancel your booking. Provided you notified us of your medical condition prior to or at the time you made your booking request, we will provide you with a full refund of payments made.
If you fail to provide a medical assessment within a reasonable time, then this will be considered a cancellation by you and cancellation fees and charges will apply (See ‘Cancellation By You’ section above).
New Medical Conditions
You must advise us of any new or changed medical conditions which may reasonably be expected to increase your risk of needing medical attention, or which may materially affect the usual conduct of the trip.
We may request you to provide an assessment of your medical condition from a qualified medical practitioner. If the assessment indicates that you will require special assistance which we cannot reasonably provide or if you fail to provide a medical assessment within a reasonable time, then this will be considered a cancellation by you and cancellation fees and charges will apply (See ‘Cancellation By You’ section above).
Non-Disclosed Medical Conditions
If any non-disclosed medical conditions mean that you will require special assistance which we cannot reasonably provide, then we acting reasonably may exclude you from the trip. This will be considered a cancellation by you and cancellation fees and charges will apply (See ‘Cancellation By You’ section above).
Snaffle Travel generally does not accept bookings for travellers 80 years of age and over, unless a physician has certified that person is fit to travel in a group environment without the need of any special assistance, or the person is travelling with a companion who is fit and able to provide care and that care will not disturb the efficient operation of the tour. Neither our Tour Director and/or host, nor your fellow travellers are equipped to act as a carer.
We strongly suggest that your travel insurance policy includes comprehensive cancellation coverage.
Special Dietary Requirements
Special dietary requests are required to be notified to us at the time of booking. Although we will use reasonable endeavours to accommodate requests, we cannot guarantee requests will be met by suppliers. It is your responsibility to check that meals and beverages do not contain any allergens. We expressly disclaim any liability for meals or beverages that contain allergens.
Independent Services
We are not responsible for any additional activities or excursions that you arrange which are not included in the booked itinerary or which we sell as an agent for the principal operator. Any advice or recommendation made by a guide or local representative does not make us responsible or liable in any way.
Acceptance of Risk
You acknowledge that travel involves personal risks which may be greater than those present in your everyday life. This could be as a result of the adventurous nature of your trip or the visiting of destinations that present geographical, political or cultural risks and dangers.
When we attend equestrian events or you are participating on a ride, we will not take any responsibility if you are injured by any horses or other animal. Horses are dangerous animals and unpredictable and we take no responsibility if you are injured in any way. You should ensure that your travel insurance covers you for injuries caused by animals.
You should consult guidance issued by the Department of Foreign Affairs and Trade (DFAT) applicable to the destinations within your itinerary. You acknowledge that your choice to travel is made having had the benefit of DFAT guidance, and you accept any additional personal risks associated with your travel. To the fullest extent permitted by law, we disclaim any liability for these risks.
Responsibility
Services supplied by independent suppliers
Where a third party over whom we have no direct control (Independent Supplier) is the supplier of travel arrangements that form part of your trip, you acknowledge that our obligations to you are limited to taking reasonable care to select a reputable Independent Supplier and arranging for them to provide those travel arrangements to you. Independent Suppliers over whom we have no direct control include but are not limited to airlines, railway and cruise operators, hoteliers, transport companies, restaurants, attraction and venue operators, ticket suppliers and common carriers.
To the fullest extent permitted by law, we will not be responsible to you for any loss, damage, personal injury or delay attributable to the actions or omissions of an Independent Supplier and not caused by our negligence. Any claims you have in this regard must be made against the Independent Supplier. You acknowledge that the Independent Supplier’s liability to you may be limited by their own terms and conditions.
Services we directly supply
To the extent only that we are the principal supplier to you of travel arrangements or other services which we control, then we will provide those travel arrangements and services with reasonable skill and care.
We will only be responsible for our employees in the course of their employment, and for our agents and contractors (where we have direct control over them) if they were carrying out the work, we had asked them to do.
We will not be responsible for any loss, damage, claim or expense caused by the acts or omissions of yourself, of any other third party not connected with the provision of the travel arrangements or services, or due to an event of Force Majeure.
Recreational services
If we supply any recreational services to you, then to the maximum extent permitted by law we exclude any liability for death, physical injury or mental injury or any other liability referred to in section 139A(3) of the Competition and Consumer Act 2010 (Cth) resulting from our failure to comply with a guarantee that applies under Subdivision B of Division 1 of Part 3-2 of the Australian Consumer Law.
This exclusion does not apply to significant personal injury caused by our reckless conduct.
Recreational services means services that consist of participation in the activities referred to in Section 139A of the Competition and Consumer Act 2010 (Cth), being participation in:
(a) a sporting activity or similar leisure-time pursuit; or
(b) any other activity that:
(i) involves a significant degree of physical exertion or physical risk; and
(ii) is undertaken for the purposes of recreation, enjoyment or leisure.
General Liability Limitation
While we endeavour to meet scheduled arrival and departure times, we cannot guarantee this. We will not be responsible for any loss or additional expenses you incur for any missed connections/services attributed to delays.
You acknowledge that travel arrangements or services that comply with local laws and regulations will be deemed to have been properly performed, even if this would not be considered the case in Australia.
Australian Consumer Law and corresponding legislation in State jurisdictions in certain circumstances imply mandatory guarantees into consumer contracts (“Consumer Guarantees”). These Booking Conditions do not exclude or limit the application of the Consumer Guarantees other than to the extent they can be excluded or limited, in which case we limit or exclude the Consumer Guarantees to the fullest extent possible. Other than the Consumer Guarantees, we disclaim all warranties and guarantees.
To the fullest extent permitted by law, our maximum liability to you under these Booking Conditions, in tort (including negligence) or at law is limited to arranging for the travel arrangements to be resupplied or payment of the cost of having them resupplied.
Complaints
In the event of a problem with any aspect of your travel arrangements, you must tell us or make our representative or our local supplier aware of such problems as soon as possible. This is so we or our suppliers have had the opportunity to put things right on the ground.
If you notify us of a problem during travel and we haven’t resolved it to your satisfaction, please follow this up in writing within 30 days from the end of your travel arrangements. This is so we have the opportunity to pursue the claim with our own suppliers (if relevant). Making a complaint does not guarantee any outcome.
If you fail to follow this procedure, this may limit your rights to make a claim.
Deemed Acceptance
If you place a booking on behalf of another party, you represent and warrant us that you are duly authorised to provide the agreement and consent of the other party to be bound by these Booking Conditions. You agree that you will be responsible for any loss or damage we incur if this is not the case.
When you get there
Local representatives: Your documentation states the name and telephone number of our local representatives for any assistance with difficulties or changes. If you need to alter your arrangements once overseas or to add services to your booking you may do this through your local representative. Any additional costs incurred must be paid directly to the supplier of the service and may not be charged back to Snaffle Travel.
We cannot be held responsible for any arrangements booked directly with suppliers abroad, and we will not consider any complaints in relation to these services. Cancellations of confirmed services must be notified through Snaffle Travel even if you have advised the local representative. Snaffle Travel does not authorise the employees of any overseas supplier to promise refunds to clients.
Transport on tour
When transport is provided on our tours and including coach and other types of transfers we limit passengers to one 23 kg suitcase per person. (often your airline carrier applies the same rules)
Your airline may also have other restrictions relating to the size of luggage. A good rule of thumb is suitcases with a maximum size of 76 x 53 x 28cm and 30 x 28 x 14cm for hand luggage. You may have one small backpack or handbag on the coach that can either be placed under the seat in front of you or on your lap. We often travel in smaller coaches or vans that can only include one bag per person. Snaffle Travel is unable to take any responsibility if you purchase extra items during your travels. You may be required to arrange storage or have large items and extra bags couriered or shipped home at your own expense.
Room Share
When travelling alone a great way to keep your costs down and make new friends is to be prepared to share a twin room with another traveller of the same sex. We are unable to guarantee that your roommate will be of a similar age group or personality but it can be an enjoyable way to travel and could mean the start of a great friendship.
Please do not request a room match if you snore. Please note that the person we match you with is not responsible to provide any assistance to you.
If we are successful in matching you with a fellow traveller, we give you the opportunity prior to departure to make contact and a shared form must be completed and signed prior to the commencement of travel. Snaffle Travel does not warrant that we will be able to find you a roommate and takes no responsibility for any incompatibility between persons sharing a twin room and will not be liable for any additional charges incurred for changing room configuration whilst on tour.
If a shared room is not available at the time of final payment, either the single room alternative, at an additional cost, or the cancellation conditions set out on your invoice and proposal will apply at your option.
Single rooms
If by choice or circumstance, a single room is required, then a single room surcharge will apply. While all endeavours will be made to provide you with a single room, if for whatever reason your single room is not available, then you will be provided with a refund for the applicable dates. Note: Sometimes hotels provide single rooms which are usually smaller than standard twin or double rooms and may provide a single bed.
Children on tour
We understand that many of our clients may have children. Children 14 years and over are most welcome on our tours. For families with children younger than this, we recommend a private tour. This way we can tailor the itinerary to suit your specific needs. Please feel free to contact us if you would like any further information regarding bringing your children on tour.
Authority on Tour and our hosts
When joining a group tour, you undertake to conduct yourself in a manner conducive to good group dynamics. If you act in a manner that threatens or disrupts the safety or enjoyment of others on the tour, the tour host/leader may, acting reasonably, require that you leave the tour. You will not be entitled to any refund for unused services and you will be responsible for any additional costs you incur.
Image Release
When on tour, we may take photographs or make recordings of you and your activities that may identify you. We reserve the right to use any images and/or recordings for promotional and marketing purposes. You consent to this use and acknowledge you will not be entitled to any payment or other compensation. If you do not consent to the use of your image or likeness, please advise us at least 21 days prior to the commencement of your tour.
Supplier Default/Involuntary Changes
Snaffle Travel takes no responsibility in the event of a supplier’s default, airline collapse or any cessation of service, or involuntary change. Travel insurance that covers supplier default is highly recommended.
Individual Flights
If we organise any individual flight arrangements (being flights that are not a tour inclusion) then you acknowledge that
(a) quoted airfares and taxes are subject to increase until paid in full and ticketed;
(b) seats are subject to availability at the time of reservation; and
(c) schedules may change and depending on the airline they may not always fit into our suggested itinerary.
Group Flights
Generally, any flights that are included in your tour will be group flights, which enables us to obtain flights at a reasonable cost and hold them without providing names until closer to travel. You acknowledge that we have the right to change any advertised carriers or aircraft type for group flights and that once you confirm a tour that includes flights you will not have the right to cancel flights or to request a change of carrier or aircraft type. All Airlines have rules in place regarding maintaining the minimum group size and passengers wishing to return on a different date to the group. We will try to do our best to accommodate requests to return on a different date, but this may not be possible due to the group rules governing the fare. If you wish to return on a different date and the group rules permit this, you acknowledge that changes remain subject to availability, fare increases, airline fees and we may have to ask you to pay for your flight in full due to airline policies. You also agree to pay us an administration fee of $55.00 to facilitate the change where the change is possible and any airline third-party fees. You acknowledge that any flights you purchase through us (being either individual flights or group flights included in your tour) are subject to the airline’s conditions of carriage, which you agree to be bound by.
Fees
Snaffle Travel may receive fees, commissions, gifts or financial incentives from third-party suppliers under a contract. In addition, Snaffle Travel charges “Professional Fees” for certain bookings and services as reimbursement for travel advisory services. Please ask us for our Schedule of Fees.

Health & Immigration
You are responsible for all visa, passport, immigration, quarantine, customs, health and other requirements of the countries visited or transited. If travelling on an Australian / New Zealand passport you will need at least 6 months validity on your passport taken from the date of re-entry into Australia / New Zealand. If you are travelling under any other passport, please advise us at the time of booking. Please note that passport and visa requirements are the responsibility of you the traveller. Snaffle Travel takes no responsibility for failure to comply with the above.
General
The contract between Pencarrow Enterprises Pty Ltd trading as Snaffle Travel and you are governed by the laws of Victoria. Any disputes shall be dealt with by a court with the appropriate jurisdiction in Victoria.
If any provision of these Booking Conditions is found to be unenforceable, then to the extent possible it will be severed without affecting the remaining provisions.

Department of Foreign Affairs Warnings
It is recommended that all Australian travellers register their personal details with the Department of Foreign Affairs prior to any international travel. For reasons of political unrest, acts of war or terrorism or natural disasters in certain parts of the world the Australian Government in conjunction with various other worldwide bodies may decide to issue a Government Travel Advisory warning to Australian passport holders not to travel to that country. In these instances, whilst travel to some countries is not advisable and some clauses of the travel insurance coverage may not apply, we appreciate that some clients may still need to travel to these areas. Snaffle Travel is prepared to make these bookings on our clients’ behalf, however, we do so without responsibility or liability.
